Most outdoor lighting is an installation. Event lighting is the opposite. Weddings, receptions, celebrations: set up for the date and removed after. That changes everything about how it gets planned, because there is no version of this you fix next weekend.Which changes the working relationship. An installation is judged over years. An event is judged in about four hours. So the planning happens early, the what ifs get covered, and nothing important gets left to the day itself.
The one thing you cannot negotiate
Permanent work can slip a week. An event cannot. The lead time is longer than the work implies. Even a modest setup has the same steps, and those steps take the time they take.
What actually causes problems
The most common outdoor event problem is power, not aesthetics. Ask about how it is getting powered while there is still time to solve it. A beautiful plan nobody can energize is not a plan.Tell the lighting company what else is going into the space, because the other vendors have needs that overlap with theirs.
Weather has a vote
An outdoor date carries weather risk. It is worth asking what happens if the forecast turns, even though nobody enjoys it. Having an answer in advance means the day is manageable either way.
Priorities
At an outdoor event there are two jobs: making it look right and letting people move safely. Atmosphere lives overhead and at the focal point. The functional parts are the walkways, the steps and the exits. Both need to be in the plan. Only one of them ends up in the photographs.

Most people overestimate
The instinct with an event is more. Dark surroundings make everything read brighter, so what looks sparse on a plan often looks generous on the night. Contrast carries the atmosphere. Even brightness does not. A designer who says the plan is already enough is usually right.
